Written to be readable by a job candidate, not just a lawyer, since candidates are the people whose information this is mostly about.

The short version

This summary is for convenience. The sections below are the full policy.

1. Who this covers, and who does what

This policy explains how VerticalFit LLC handles personal information. Three groups are involved, and the difference between them matters.

The roles each party plays

The employer decides to assess you, chooses the role, invites you, receives your report, and decides what to do with it. The employer, not VerticalFit, controls your assessment information.

VerticalFit provides the tool. We do not decide who is assessed, we do not evaluate anyone ourselves, and we do not participate in hiring decisions.

What this means for you as a candidate: questions about why you were assessed, how your results are being used, or how long they’ll be kept are questions for the employer. Questions about how the assessment itself works, or about this policy, can come to us.

2. What is collected from candidates

2.1 When you complete an assessment, the following is collected and included in the report delivered to the employer:

2.2 Information about the session. The assessment also notes how long you took, roughly how long per question, how many answers you changed, whether you moved away from the browser tab, and whether the name you typed matches the invitation. This appears in the report under “How this sitting went.” It is described to the employer as advisory only, not proof of anything, and employers agree in our Terms of Service not to reject anyone on that basis alone. It exists because the assessment is taken unsupervised, and an employer deserves to know if a session looks unusual.

What we do not collect

2.3 We want to be specific, because plenty of hiring tools do collect these. VerticalFit does not collect:

3. What we collect from employers and visitors

Employers

3.1 When a business subscribes, we collect the company name, the name and email of the person who signs up, the results recipient’s name, title and email, and billing information.

3.2 Payment details. Card numbers are handled by our payment processor. VerticalFit does not see or store full card numbers.

3.3 Portal settings. Your company name, recipient details, results-sheet address and the list of candidates you’ve invited are stored in your own browser, not on our servers. Clearing your browser data removes them.

3.4 We keep a record of which access code was issued to which business and when the Terms of Service were accepted.

3.5 Service usage records. To support our customers and run the business, your browser sends VerticalFit a short notice when certain things happen: the portal is unlocked, a candidate link is created, and an assessment is started or completed. Each notice carries only a coded customer ID (a one-way fingerprint of the access code), the industry, the role, whether the Excel check was included and, on completion, how long it took. These notices never include a candidate’s name, contact details, answers or scores.

Visitors to the website

3.6 You can read verticalfithiring.com without giving us anything. No account is needed to browse.

3.7 Our hosting provider processes standard technical information needed to serve the site, such as IP address and browser type. This is ordinary web infrastructure, not tracking we have set up.

3.8 Sample report requests. If you ask for a free sample report, we collect what you type into that form: your name, company name, work email, phone number, industry and roughly how many people you hire each year. We also note which page you were on and how you arrived at the site: for example “Google search” or the name of a website that linked to us, plus campaign tags if the link you followed had them. That arrival information is held in your browser only until you close the tab. We do not use cookies for it.

We use what you send to email you the sample report and to follow up about VerticalFit, by phone or email. It is kept in VerticalFit’s own private business records, and we will delete it if you ask.

3.9 No advertising trackers. We do not use advertising cookies, tracking pixels, or third-party analytics that follow you across other websites. We do not run ads, and we do not participate in ad networks.

3.10 Links to other sites. The site links to a financing partner, Closer Capital. If you follow that link you leave our site and their privacy practices apply, not ours. VerticalFit earns a commission if you are funded through that link, which is disclosed where the link appears.

4. How the information is used

4.1 Candidate information is used to produce your assessment report and deliver it to the employer who invited you. That is its purpose.

4.2 Employer information is used to provide the service, issue access codes, process payment, and contact you about your subscription.

4.3 Sample report requests are used to send the report and to follow up about VerticalFit, as described in 3.8.

4.4 Improving the service. We may use aggregate, de-identified information, such as how long assessments take, error reports and overall usage, to improve the assessment and fix problems. Aggregate means combined across many people so no individual can be identified.

4.5 Checking for fairness. We may analyse assessment results in aggregate to check whether the assessment produces different outcomes across groups of candidates. This is how a responsible assessment is monitored, and it may become legally required. Any such analysis would use de-identified data, and any collection of demographic information for it would be voluntary, clearly explained, and kept separate from the results an employer sees.

4.6 What we never do

4.7 Legal reasons. We may disclose information if required by law, a court order or valid legal process, or to protect the rights or safety of someone. If that happens we will tell the affected party unless legally prohibited.

5. Where the information goes

5.1 The path your assessment takes. Worth setting out plainly:

  1. You complete the assessment in your web browser.
  2. Your answers are scored in your browser. They are not sent to VerticalFit to be scored.
  3. Your browser sends the finished report directly to a results spreadsheet that the employer owns, in the employer’s own Google account.
  4. The employer’s spreadsheet files the report as their hiring record and emails it, from the employer’s own account, to the person they designated.
  5. If an employer’s spreadsheet isn’t connected, you’ll be offered a button to email the report to the employer yourself, from your own email.

5.2 VerticalFit is not part of that path. We operate no database of candidates, and we retain no copy of your report.

Service providers

5.3 Delivering the service involves a small number of third parties:

5.4 These providers may process information only to provide their service.

5.5 Business transfers. If VerticalFit is ever sold or merged, information may transfer as part of that. We would give notice before any transfer changed how information is handled.

6. How long information is kept

6.1 Candidate assessments are kept by the employer, not by us. Because your report is delivered to the employer and stored in their own spreadsheet and inbox, they decide how long it is kept. Federal rules generally require employers to retain hiring records, including completed assessments, for at least a year, longer if a complaint is filed. If you want to know an employer’s retention practice, ask them.

6.2 In transit. Your report travels from your browser to the employer’s own Google account. No VerticalFit server and no third-party relay service holds it along the way.

6.3 While you’re taking the assessment. Your answers are held temporarily in your own browser so you don’t lose your place if you refresh. They are cleared when you finish or close the browser. They are never sent to VerticalFit.

6.4 Employer records. Subscription and billing records are kept as long as the subscription is active and afterwards as required for tax and accounting.

6.5 Sample report requests are kept while they are useful to our business relationship with you, and deleted sooner if you ask.

6.6 Aggregate information. De-identified, aggregate statistics may be kept indefinitely, as they cannot identify anyone.

7. Your choices as a candidate

7.1 Taking the assessment is between you and the employer. VerticalFit does not require you to take it. If you would rather not, that’s a conversation with the employer, who decides what their hiring process involves.

7.2 Accommodations. If a disability makes any part of the assessment harder, for example you need extra time, a screen reader, or a different format, contact the employer before you begin. They are responsible for providing reasonable accommodations, and the assessment says so on its opening screen.

7.3 Seeing your results. VerticalFit does not show candidates their scores, and we cannot release them to you, because the report belongs to the employer and we don’t hold it. Ask the employer if you’d like to know what it said.

7.4 Correcting or deleting your information. Since we don’t retain your assessment, requests to correct or delete it need to go to the employer, who holds it. If you contact us, we will tell you what we can and point you to the right place.

7.5 Questions or complaints. Contact us at the address below. If you believe an employer has misused your results, you may also raise it with the employer directly or with the relevant employment agency.

8. Security, children, changes and contact

8.1 Security. The site is served over an encrypted connection (HTTPS). Because assessments are scored in your browser and we keep no candidate database, there is no central store of candidate data to breach. Reports are delivered by email, which is not fully secure by nature. That is a limitation of email generally, not of this service specifically. Employers are required by our Terms of Service to store reports securely.

8.2 Children. The service is for adults applying for jobs. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has completed an assessment, contact us.

8.3 Changes to this policy. We may update this policy. The date at the top shows when it last changed. For material changes affecting employers, we will notify subscribers directly.
